SAP and Stiff built and executed a global, multimedia virtual event for thousands of invitees in under eight weeks. New platform, new experience.

A global event from your living room

SAP’s Customer Experience LIVE is a major annual event for SAP—one of the largest enterprise software companies in the world. Stiff was SAP’s partner in putting together their 2019 installment, a multi-day in-person event in Orlando, Florida bringing together thousands of attendees from around the world.

Fast-forward to summer 2020. It’s Customer Experience LIVE time again, but the entire globe is in COVID lockdown.

SAP had made initial steps into the virtual event space earlier in the year. As they are always looking to improve their performance, SAP came to Stiff for help pulling together an event of the same scope as 2019.

We had eight weeks. But we knew that our strengths—knowing the client, knowing the event, and our experience successfully tackling the virtual event challenge—made us more than ready for the task.

Hitting the
ground running

There were multiple streams to cross in this project.

We were helping to move SAP to a new online events platform—INXPO from Intrado.

SAP wanted a light, friendly space, since COVID was keeping us mostly indoors. So we designed airy outdoor spaces to “mingle,” and even a drive-in movie setting to view keynotes.

INXPO is a powerful platform, but it is not designed to deliver that sort of environment.

So our strategists and designers set to work applying our skill and talent to bending the platform to our needs and building the experience SAP wanted.

If the world couldn’t meet somewhere beautiful for Customer Experience LIVE, the virtual space would bring some beauty home.

A lot to do

There was also the sheer volume of materials to be generated, everything from: 

  • website graphics and copy
  • custom scene compositions
  • digital agendas
  • announcement and logistical emails
  • speaker announcements
  • invitations and confirmations
  • registration notices
  • customized toolkits
  • digital postcards
  • e-magazine
  • social media graphics
  • PowerPoint templates
  • staff briefing documents

SAP had an audience of almost 20,000 to invite, 120 speakers to schedule and promote, and a virtual meeting space to build from the ground up.

A global
project

Not to mention that SAP is a huge, multinational corporation with operations in cities, countries and time zones all across the globe. Stakeholders, presenters and attendees for Customer Experience LIVE were stationed hundreds, even thousands of kilometers apart. Our workflow, design and approvals process needed to be perfect to hit our deadlines and keep everything moving. No problem—not for Stiff.

Site design and deployment

Along with the virtual meeting space, Stiff built and maintained the event website, provided all assets, and performed constant updates as materials grew and changed.

A friction-free experience

Feedback was immediate and positive. Attendees welcomed the seamless experience, warm and friendly design, and easter eggs that encouraged exploration and engagement. The results speak for themselves. As a major player in the industry, SAP knew the world would be watching. That’s why they called Stiff.

We had been there before—working within the restrictions of a nascent technology, thrown into the deep end of virtual events thanks to COVID.

Customer Experience LIVE is just one more example of how Stiff gets things done.
